Organize documents

Create folders and subfolders

Folders offer a way to quickly filter your view of your library.

You can use "Create Folder.." in the left panel to create a new folder.

To add a reference to a folder, select it in the main panel, and then drag it over to your new folder. You can also add multiple papers at the same time.

You can also create subfolders directly under an existing folder or by draging a folder to another folder.

Tags and filtering

Tags allow you to apply quick text labels to references in order to easily group them.

You can use the Filter menu in the left panel to filter the references by publications, author name, and author-provided keywords.

You can also find your own tags under "Filter by My Tags"

To create your own tags, you can add new tags to the "Tags" field found in the "Details" tab in the right panel.

Please be noticed that the filter menu is context-specific. Only tags used within the current view will be available to select. So, make sure "All Documents" is selected in order to see the full list of tags.

Some tips for organizing documents

Favorities

You can mark your favorites by clicking the star icon in the main panel. These references can then be easily found by choosing the "favorites" folder.

Use search to retrieve references

Use the search box in the upper right corner to search across the full-text of your library. You can also use the dropdown menu to narrow your search to a specific field.

Please be noticed that Mendeley Desktop’s search tool is context-specific. If you’re viewing a particular folder Mendeley will only search items within that folder. You can use this to locate specific resources quickly. Please make sure that "All Documents" is selected if you want to search the entire library.

Adding "Notes"

The search function allows you to search you own "Notes". You can add you own annotations in the "Notes" tab in the right panel to make the referneces easier to find.

Remove duplicates

You can remove duplicates by selecting "Check for Duplicates" under the "Tools" menu.

Globally edit author names to keep them consistent

Select "Filter by authors" in the left panel to display all the authors, then drag the incorrect name over to the correct name. You can update all the other tags in the same way.
